Order lifecycle
Last updated: April 2026
Every order in Techfleet Sync passes through a clear set of states. The Orders dashboard shows the current state for each order plus a full event timeline.
Order states
- Pending — placed but not yet paid (common for e-transfer or net terms)
- Paid — payment captured successfully
- Fulfilled — label purchased or pickup marked complete
- Shipped — tracking is live and the carrier has the package
- Completed — delivered and out of the return window
- Refunded — partial or full refund issued
- Cancelled — cancelled before fulfillment
The event timeline
Open any order and scroll to the Timeline panel. Every state change, note, email, refund, and label purchase is logged with a timestamp and actor.
How serialized units are tied to orders
When a buyer orders a serialized SKU, Techfleet auto-reserves the specific IMEI that best matches the requested grade and storage. You can swap the reserved unit before fulfillment from the order detail page.
NOTE
Reserved units cannot be sold on another channel. Once you cancel or refund the order the reservation releases and the unit becomes available again.
