Order notes and timeline

Every order has a notes thread and a system timeline. Notes are for you and your team; the timeline is auto-generated.

Adding a note

  1. Open the order
  2. Scroll to Notes
  3. Type your note and click Save — other team members can see it

Internal vs buyer-visible notes

Notes are internal by default. Toggle Send to Buyer to email the note to the buyer from your support address.

What appears on the timeline

  • Order created, paid, fulfilled, shipped, completed
  • Refund issued (with amount and reason)
  • Label purchased (with carrier and tracking)
  • Email sent to buyer (with subject)
  • Manual state changes with the actor name
TIP

Timeline events are permanent. If you need a clean audit trail for accounting or a chargeback dispute, export the order PDF from the order detail page.
